Physis Photo Tours designs private photography tours in Costa Rica. To plan your trip we need some information about you. This policy explains what we collect, why, who helps us process it, and the choices you have.

Who we are

What information we collect

• Information you give us when you fill in our trip planning form or write to us: name, email address, phone number, country and city, travel dates, number of travelers, travel style, photography interests and any other details you choose to share.
• Information collected automatically when you visit the site: pages viewed, approximate location based on your IP address, device and browser type, the page or ad that brought you here (for example, campaign parameters), and interactions such as form submissions. This is collected through cookies and similar technologies described below.

We do not ask for payment card details on this website.

How we use it

• To reply to your inquiry, schedule a planning call and prepare your custom itinerary and proposal.
• To organize your trip if you book with us, including reservations with lodges, guides and transport providers.
• To understand which pages and ads bring travelers to us, and to measure and improve our advertising and website.
• To comply with legal, accounting and tax obligations.

We use your information because you asked us to plan a trip (steps taken at your request before a contract), because you gave consent where it is required, and because of our legitimate interest in running and improving our business.

Who we share it with

We do not sell your personal information. We share it only with service providers that help us operate, under their own privacy and security terms:

• HubSpot, the system that receives our forms and stores inquiries (customer relationship management).
• Google (Google Analytics and Google Ads), to measure website visits and the results of our ads.
• Hostinger, which hosts this website.
• Travel partners such as lodges, guides and transport providers, only when needed to arrange a trip you have booked, and only the details they need.

We may also disclose information if required by law.

Cookies and measurement

This website uses cookies and similar technologies from Google and HubSpot to measure visits, attribute inquiries to the ads or pages that led to them, and keep our forms working. You can block or delete cookies in your browser settings; the site will still work, although some measurement will not. International transfers

Some of our providers, including HubSpot and Google, may store or process information outside Costa Rica and outside your country, for example in the United States. These providers apply their own safeguards for international transfers.

How long we keep it

We keep inquiry information for as long as needed to plan and follow up on your trip, and for up to three years afterwards so we can assist you with future travel, unless you ask us to delete it sooner. Booking and payment records are kept for the period required by Costa Rican law.

Your rights

Depending on where you live, including under Costa Rica's Law 8968 on the protection of personal data and the data protection laws of the European Union and the United Kingdom, you can ask us to:

• access the personal information we hold about you;
• correct information that is inaccurate or incomplete;
• delete your information;
• object to or restrict certain uses, or withdraw your consent at any time;
• receive a copy of your information in a portable format.

To make a request, email info@physis.cr. We will reply within 30 days. You also have the right to complain to the data protection authority in your country.

Security

We use reputable providers, encrypted connections (HTTPS) and access controls to protect your information. No method of transmission or storage is completely secure, but we work to protect your data and limit access to the people who need it to plan your trip.

Children

Our services are aimed at adults. We do not knowingly collect information from children under 16 through this website.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last revised.
